Terms of Service

1. Acceptance of Terms

By accessing or using Dino & Bear ("the Service"), you agree to be bound by these Terms of Service and our Privacy Policy (available at dinoandbear.com/privacy). If you do not agree to these terms, please do not use our Service. Our Privacy Policy is incorporated into and forms part of these Terms.

These Terms apply to all users of the Service, including parents and guardians who connect their email accounts and calendars.

2. Description of Service

Dino & Bear is an AI-powered family organisation platform that helps parents and guardians manage school communications and events. Our core features include:

  • Connecting to your email account (Gmail, Yahoo Mail, or Microsoft Outlook) to identify and extract school-related events, dates, deadlines, and action items
  • Organising and summarising school communications in one place
  • Adding school events to your connected Google Calendar
  • Sending you reminders about upcoming school events and deadlines
  • Allowing you to upload or photograph printed school documents for AI-assisted extraction

To provide these features, we use third-party email and calendar APIs, AI processing services, and cloud infrastructure. More detail on how we do this is set out in our Privacy Policy.

3. Connected Email and Calendar Services

3.1 How connections work

Dino & Bear connects to your email and calendar accounts using secure OAuth 2.0 authentication. You grant us access directly through each provider's authorisation screen. We never see or store your email password.

3.2 Gmail (Google)

When you connect Gmail, we access your email using the Gmail API with read-only scope (gmail.readonly). This means:

  • We can only read emails — we cannot send, delete, or modify anything in your account
  • We only read emails from sender domains you have approved
  • Your Gmail data is used solely to extract school events for display within the Service

Dino & Bear's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Gmail data is used exclusively to provide and improve the user-facing features of the Service that are visible to you. We do not use Gmail data for advertising, credit checks, model training, or any other independent purpose, and we do not transfer Gmail data to any third party except as necessary to provide the Service (with your consent), for security purposes, or to comply with applicable law.

You can disconnect Gmail at any time in your account settings.

3.3 Yahoo Mail

When you connect Yahoo Mail, we access your email using read-only IMAP with OAuth 2.0 authentication (mail-r scope). This means:

  • We can only read emails — we cannot send, delete, or modify anything in your account
  • We only access emails from sender domains you have approved
  • Your Yahoo Mail data is used solely to extract school events, dates, deadlines, and action items for use within the Service
  • We do not sell, share, or disclose Yahoo Mail data to any third party for advertising, marketing, analytics, or any other independent purpose

You can disconnect Yahoo Mail at any time in your account settings.

3.4 Microsoft Outlook

When you connect Microsoft Outlook, we access your email through the Microsoft Graph API using delegated read permissions. In accordance with Microsoft API Terms of Use, this access is used solely for the purpose of syncing school-related email messages and calendar events for display and use within the Service. The same data protections described above for Gmail and Yahoo Mail apply equally to your Outlook data.

You can disconnect Outlook at any time in your account settings.

3.5 Google Calendar

When you choose to add school events to your Google Calendar, we use the Google Calendar API (calendar.events scope). We only create events from school dates found in your emails. We do not read, modify, or delete any of your existing calendar events, and we do not use your calendar data for any purpose beyond providing the Service.

You can disconnect your Google Calendar at any time in your account settings.

3.6 Scope of access

For all connected accounts, we commit that:

  • We request only the minimum permissions needed
  • You choose which school email domains we monitor — we do not access any other emails
  • You can disconnect any or all connected accounts at any time without losing your Dino & Bear account
  • When you disconnect, we immediately stop accessing your account and delete stored email content within 30 days

4. AI Processing

We use AI to read your approved school emails and extract events, dates, and tasks. Before you connect your email for the first time, we will ask you to confirm that you are comfortable with your school emails being processed by AI.

Key things to know:

  • Your emails are processed by our contracted AI subprocessor solely to extract school events — for no other purpose
  • Our AI subprocessor is contractually prohibited from using your email content for model training, advertising, analytics, or any independent purpose
  • AI-processed data is retained by our subprocessor for up to 30 days for security purposes only, then permanently deleted
  • We do not use any other AI service to process your emails

Because AI extraction is not perfect, we recommend always verifying important dates and details independently. The Service provides tools for you to review and approve extracted events before they are added to your calendar.

5. User Accounts

To use certain features of the Service, you must create an account. You agree to:

  • Provide accurate and complete information
  • Maintain the security of your account credentials
  • Notify us immediately of any unauthorised access to your account
  • Accept responsibility for all activities that occur under your account

Dino & Bear is designed for use by parents and guardians aged 18 and over. By creating an account, you confirm that you are at least 18 years old.

6. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose
  • Connect email accounts belonging to someone else without their express consent
  • Attempt to gain unauthorised access to any part of the Service
  • Interfere with or disrupt the Service or its servers
  • Use the Service to collect information about other users without their consent
  • Share content that is harmful, offensive, or inappropriate
  • Misrepresent your identity or affiliation

7. Subscriptions and Payments

Some features require a paid subscription. By subscribing, you agree to pay all applicable fees. Subscriptions automatically renew unless cancelled before the renewal date. Refunds are provided in accordance with applicable law, including the Consumer Rights Act 2015 where applicable.

If you cancel your subscription, you will retain access to paid features until the end of your current billing period.

8. Intellectual Property

The Service and its original content, features, and functionality are owned by Dino & Bear and are protected by applicable copyright, trademark, and other intellectual property laws.

9. Your Content and Email Data

9.1 Content you submit directly

You retain ownership of any content you actively submit to the Service (for example, photos of school letters you upload, notes you add, or preferences you set). By submitting content, you grant us a limited licence to use, process, and display it solely as necessary to provide the Service to you. You are responsible for ensuring you have the right to share any content you submit.

9.2 Email data accessed via connected accounts

Email content accessed through your connected Gmail, Yahoo Mail, or Outlook account is not "submitted content" for the purposes of clause 9.1. It is accessed under delegated, read-only permission and processed solely under the limited-use terms described in Section 3 and our Privacy Policy. We do not claim any licence over your email content beyond what is strictly necessary to provide the Service, and we handle it in accordance with the applicable provider policies described in Section 3.

10. Data Protection and Your Rights

We process your personal data in accordance with UK GDPR and the Data Protection Act 2018. We are registered with the Information Commissioner's Office (ICO). For full details of how we collect, use, and retain your data — including the legal bases for processing and your rights to access, correct, delete, and port your data — please read our Privacy Policy.

Your key rights under UK GDPR include the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request deletion of your data
  • Object to processing
  • Receive a copy of your data in a portable format
  • Withdraw consent at any time

11. Disclaimer

The Service is provided "as is" without warranties of any kind. We do not guarantee the accuracy of automatically extracted event information. AI-assisted extraction is helpful but not infallible — always verify important dates, deadlines, and details independently.

We are not responsible for any school communications that are not identified or extracted by the Service, including those sent to email addresses you have not connected, or from domains you have not approved.

12. Limitation of Liability

To the maximum extent permitted by law, Dino & Bear shall not be liable for any indirect, incidental, special, consequential, or punitive damages resulting from your use of the Service. Nothing in these Terms excludes or limits liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law.

13. Third-Party Services and Providers

The Service integrates with third-party platforms including Google (Gmail, Google Calendar), Yahoo Mail, and Microsoft Outlook. Your use of these platforms is also subject to the relevant provider's terms of service and privacy policies. We are not responsible for any actions or omissions of these providers.

We use a limited number of subprocessors to provide the Service, all of which operate under data processing agreements. For a current list of our subprocessors, contact privacy@dinoandbear.com.

14. Changes to These Terms

We may update these Terms from time to time. If we make any significant changes, we will notify you via email and through the Service at least 14 days before the changes take effect, giving you the opportunity to review them. If you continue to use Dino & Bear after the changes take effect, that constitutes acceptance of the updated Terms. If you do not accept the changes, you may delete your account before they take effect.

15. Termination

You may stop using the Service and delete your account at any time. We may suspend or terminate your access to the Service if you materially breach these Terms, with notice where reasonably practicable. On termination or account deletion, we will delete your personal data and email content within 30 days, except where we are required by law to retain it.

16. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales. Nothing in this clause affects your rights as a consumer under applicable UK law, including the right to bring a claim in any court of competent jurisdiction.
